COMMUNITY ROOM RENTAL


Rental Policy

Availability

The Albany Regional Museum rents the use of its Community Room for business, private, and non-profit meetings and events 5 days a week, as Museum activities permit. Use of the Room is on a first-come, first-served basis, with the Museum maintaining priority of use.

Capacity

The Community Room can be rented for gatherings large and small:

  • Seated events and receptions requiring tables — maximum 48 guests

  • Lectures, presentations, or formal meetings (chairs only) — maximum 42 guests

Facilities

The Albany Regional Museum’s Community Room, public restroom, exhibit hall, and parking lot are ADA accessible. Admission to the exhibit floor is not included in your rental fee; however, you may add group admission for a flat rate of $20.

Location

The Albany Regional Museum is conveniently located in downtown Albany, Oregon on the corner of 2nd and Lyon Street, easily accessible from I-5. On-site parking is available and accessible from Lyon Street.

Rates

Non-Profit Organizations

  • Open hours — $15 per hour

  • After hours — $25 per hour

Businesses and Private Citizens

  • Open hours — $25 per hour

  • After hours — $35 per hour

Kitchen services (coffee, water, and tea) are included in the above fees.

Setup & Takedown:

  • Set-up and breakdown of tables and chairs are included in the rental cost

  • Your table settings (cutlery, plates, cups) can be set up for you if provided at least one day before your event, for a $10 fee.

  • Technology setup, including a projector and screen, is included in the rental cost. We recommend testing your presentation software in advance. Please note that some Mac computers may require specific adapters or connections to be compatible with our system.

Kitchen Use:

  • Use of the refrigerator or freezer is included in your rental. Please respect items already in the kitchen.

  • After your event, you are responsible for cleaning up any trash, messes, or spills that result from your event. Trash and recyclables may be disposed of on-site.

Restrictions

To protect the Museum’s collections and historic building, the following restrictions apply:

  • No smoking is permitted within the building or within 20 feet of entrances.

  • No food or drink is allowed in the Exhibit Hall; all refreshments must remain in the Community Room.

  • Only service animals are permitted inside the building.

  • Access to the upstairs collections area is not permitted.

  • Alcoholic beverages may only be served by a licensed caterer.

  • Free-standing decorations only. You may not affix anything to walls or structures.

  • No glitter, confetti, slime, or anythings similar that could result in excessive clean up.

Disclaimer & Liability

The Rental Party is responsible for all individuals and activities during the use of the Community Room.

  • The Rental Party assumes liability for any damage, loss, or theft of Museum property, equipment, or furnishings that occurs during their rental period.

  • The Albany Regional Museum is not responsible for personal injury, loss, or damage to personal property belonging to the Rental Party, guests, or vendors, including vehicles in the Museum’s parking lot.

  • The Museum is not liable for technical issues or equipment failure related to user devices, software compatibility, or power interruptions.

  • The Museum cannot store items before or after the rental period. All belongings must be brought in and removed within the scheduled rental time. The Museum is not responsible for items left behind.

FEES & ADDITIONAL CHARGES

  • Failure to clean or restore the space to its original condition may result in additional cleaning or damage fees.

  • Events that begin setting up before or extend beyond the agreed-upon rental time may incur additional fees.
